A folder structure first answers a simple question: where is the original? Ratings, albums and keywords can later provide several views of the same collection. The storage location needs one clear logic. Copying the same photograph into Holiday, Family and Favorites folders creates several versions whose differences can eventually become difficult to explain.
Use dates as a framework and events as context
One possible structure starts with a year folder and a shoot folder such as 2026-05-18_Garden-party beneath it. The date prefix sorts these folders chronologically, while the short event name helps recognition. Consistently applying a pattern to new imports matters more than choosing this particular pattern.
For a trip lasting several days, a shared project folder can contain separate shooting dates. A household with a small collection does not need the same depth as a large commercial archive. If every import requires creating five empty subfolders, the system may be more elaborate than the collection needs.
For old scans, the scanning date is not automatically the date of the event pictured. Give unknown periods a recognizable label and record an estimate as an estimate. An invented date that looks precise does not make an archive more accurate.
Separate originals from outputs
Put reduced email images or finished print files in a clearly named output folder. This identifies files that can be generated again from the original. An export for a photo book may, for example, have a different crop from the capture it came from.
Albums in a photo manager can refer to the same original files without creating more image copies. When using a catalog-based application, move folders through its supported controls. Otherwise, the catalog may retain the previous path and report the photographs as missing.
Test the structure with a real retrieval task
After setting up the structure, choose three photographs from different years and try to find their originals without using the recently opened list. Also consider whether another person could understand the folder names. A short text file at the top of the archive can explain how dates, project names and outputs are used.
Do not redesign a working structure for every new photographic idea. A new collection is often better expressed as an album or search filter. Before a major reorganization, have a checked backup available; afterward, inspect several originals and their links in your photo manager.
